Before you start
What delegation actually requires
Most hosts and operators do not struggle to find tasks to delegate. They struggle because the tasks live in their head. Check-in exceptions, which cleaner covers which building, how far you will go on a late checkout request, when a discount is acceptable: all of it is judgement built up over hundreds of stays and none of it is written down.
Our onboarding is designed to move that knowledge out of your head and into a documented set of workflows your virtual assistant can follow. That takes structure at the start, and it is the reason support becomes genuinely hands off later rather than turning into a second inbox you have to supervise.
You do not need existing systems, standard operating procedures or a management platform to begin. If you have them, we work inside them. If you do not, we build the basics with you during the first two weeks.
The process
The six stages of onboarding
Every account follows the same sequence, whether you run two listings or forty units across several buildings.

Free consultation, around 30 minutes
We map how your operation runs today: property count, platforms, current tools, who does what, where your hours go and which tasks cause the most disruption. Nothing is sold on this call. You leave with an honest view of whether virtual assistant support is the right fit and which tasks would return the most time.

Scoped support plan
We write up the responsibilities to be covered, the hours needed, the coverage window and the escalation rules that decide what your VA handles alone and what comes to you. You review the scope and change it before anything is agreed, so there is no ambiguity about what is included.

Virtual assistant matching
We match you with an assistant whose experience suits your property type and platforms. Serviced accommodation with corporate clients needs different instincts to a rural holiday let with weekly changeovers, so matching is done on operational fit rather than availability alone.

Documented handover
Together we record the property details, access instructions, cleaner and contractor contacts, message templates, pricing rules and house policies. This becomes your operations file. It belongs to you, it stays current, and it is what protects you if your assistant is ever away.

Supervised first two weeks
Your VA starts on a narrow set of tasks with responses checked before they go out where you want that. Scope widens as accuracy is proven. Most clients move from reviewing everything to reviewing exceptions only within ten to fourteen working days.

Steady state and reviews
Once workflows are stable your assistant runs the agreed responsibilities day to day and flags exceptions. We review the scope regularly so support tracks your portfolio as properties are added, removed or moved to a different platform.

What we need from you
Onboarding is quick when these five things are available. None of them need to be polished.
Platform access
A user account on your booking platform or property management system with the permissions your VA needs, and nothing beyond that. We advise on the least privileged access that still lets the work happen.
Property details
Addresses, access methods, parking, wifi, quirks, local recommendations and anything guests ask often. Rough notes are fine. We tidy them into a usable reference.
Your rules of engagement
Refund limits, late checkout policy, pet policy, minimum stays and the point at which a decision needs your input. Clear working guidelines help your assistant act confidently and keep daily operations moving.
Supplier contacts
Cleaners, laundry, maintenance contractors and anyone else involved in changeovers, plus how each prefers to be contacted.
Two short feedback sessions
A brief check in at the end of week one and week two. These two conversations do more for quality than any amount of written instruction.
